Complaints procedure
Teifi Tiddlers views complaints as an opportunity to improve for the future, as well as a chance to put things right for the person that has made the complaint. Each of our customers is important to us and we believe you have the right to a swift, fair and
courteous service at all times.
Overview:
• To provide a fair complaints procedure that is clear and easy to use for anyone wishing to make a complaint.
• To publicise the existence of our complaints procedure so people know how to contact us to make a complaint.
• To ensure complaints are investigated fairly and in a timely manner.
• To make sure that complaints are, wherever possible, resolved and that relationships are repaired.
• To gather information which helps us improve how we deliver services.

A complaint is any expression of dissatisfaction of Teifi Tiddlers service.

Teifi Tiddlers aims to address any complaint as soon as possible.
What Happens Next?
All complaint information will be handled sensitively, informing only those that need to be involved and following any relevant data protection requirements.
You will receive acknowledgement of your complaint within 5 working days. You may be contacted to make sure that we have understood your complaint properly.
You will receive a response to your complaint within 14 working days of its receipt and in all cases, a complaint will be given full and fair consideration.
If a criminal offence is alleged the police will be informed.

Safeguarding Policy
This policy relates to the Safeguarding procedures put in place for activities where Children, Young People, and Vulnerable Adults are participants in swimming lessons. This policy follows the Safety Training Awards (‘STA’) Code of Practice, the STA Duty of Care Policy, Keeping Children Safe in Education (2015), Working Together to Safeguard Children (2018) and Prevent Strategy (2011).
Aim
Everyone who participates in Teifi Tiddlers is entitled to do so in an enjoyable
and safe environment. The swim school has a moral and legal obligation to
ensure that, when given responsibility for young people, coaches and
volunteers provide them with the highest possible standard of care.
The aim of the policy is to promote good practice, providing children and
young people with appropriate safety/protection whilst in the care of Teifi
Tiddlers and to allow staff and volunteers to make informed and confident
responses to specific child protection issues.
A child/young person is defined as a person under the age of 18
(Children’s Act 1989)
Policy Statement
Teifi Tiddlers is committed to the following:
• the welfare of the child is paramount
• all children, whatever their age, culture, ability, gender, language, racial
origin, religious belief and/or sexual identity should be able to participate
in swimming in a fun and safe environment
• taking all reasonable steps to protect children from harm, discrimination
and degrading treatment and to respect their rights, wishes and feelings
• all suspicions and allegations of poor practice or abuse will be taken
seriously and responded to swiftly and appropriately
• all swim school employees who work with children will be recruited with
regard to their suitability for that responsibility, and will be provided with
guidance and/or training in good practice and child protection procedures
• working in partnership with parents and children is essential for the
protection of children

The swim school is committed to devising and implementing policies so that
everyone in sport accepts their responsibilities to safeguard children from
harm and abuse. This means to follow procedures to protect children and
report any concerns about their welfare to appropriate authorities.

Promoting Good Practice
To provide children with the best possible experience and opportunities in
swimming everyone must operate within an accepted ethical framework such
as The STA Code of Conduct.
It is not always easy to distinguish poor practice from abuse. It is therefore
NOT the responsibility of employees or participants in swimming to make
judgements about whether or not abuse is taking place. It is however their
responsibility to identify poor practice and possible abuse and act if they have
concerns about the welfare of the child.
All personnel should adhere to the following principles and action:
• Always work in an open environment (e.g. avoiding private or unobserved
situations and encouraging open communication with no secrets)
• Make the experience of swimming fun and enjoyable: promote fairness,
confront and deal with bullying
• Treat all young people equally and with respect and dignity
• Always put the welfare of the young person first, before winning
• Maintain a safe and appropriate distance with players (e.g. it is not
appropriate for staff or volunteers to have an intimate relationship with a
child or to share a room with them)
• Avoid unnecessary physical contact with young people. Where any form
of manual/physical support is required it should be provided openly and
with the consent of the young person. Physical contact can be
appropriate so long as it is neither intrusive nor disturbing and the young
person’s consent has been given
• Involve parents/cares wherever possible, e.g. where young people need to
be supervised in changing rooms, encourage parents to take responsibility
for their own child.
• Always give enthusiastic and constructive feedback rather than negative
criticism
• Keep a written record of any injury that occurs, along with details of any
treatment given

We are constantly seeking to improve our standards, but you as the customer, set them for us. Any feedback on your visit to New Castle Emlyn or Llangrannog pools would be welcomed.

• Make you feel welcome and help you to enjoy the classes.
• Provide staff who are courteous, properly trained and happy to assist you at all times.
• Provide facilities and assistance for people with and without disabilities.
• Provide clean and well-maintained equipment for classes.
• Listen carefully to what you say and involve you in decisions that affect your enjoyment of classes.
• Offer classes that are good value for money.
• Maintain a balanced programme of activities within sessions.

Data Protection Act 1998
• Teifi Tiddlers needs to collect certain types of information about people with whom it deals with, in order to operate. (Names, addresses, health details)This personal information must be dealt with properly and securely however it is collected, recorded and used (whether on paper, in a computer, or recorded on other material) and there are safeguards to ensure this in the Data Protection Act 1998.
GDPR
We are obliged under the Data Protection Act and the GDPR to have a process in place designed to ensure the security of all personal data during its lifecycle, including clear lines of responsibility.
A policy sets out the procedure to be followed to ensure a consistent and effective approach is in place for managing data breach and information security incidents.

Enrolments:
Your place can only be secured with full payment and will be given on a first come first served basis. No Refunds will be given once the term commences. Should your class be cancelled by us due to unforeseen circumstances, you will be credited a lesson during the school holidays.
Courses can be paid by cash, BACS or via the booking platform class4kids prior to commencing the new term. (by WEEK 5). This confirms your space; failure to pay on time will result in your space being offered to another person. Please do not ask to alter the payment date.
Class Times and Venues
As time progresses you may find your class size reducing (as parents return to work etc). Once a class has become too small to function properly we will need to merge it with another. We do our best to keep class times as similar as possible but unfortunately cannot always guarantee this. This will happen at re enrolment and we endeavour to give you as much notice as possible.
Refunds and Cancellations
Pool closures and cancelled lessons are rare and you will be informed by email and text should there be disruption to your lesson.
In the instance that a pool cannot be used in the short term, we will endeavour, where possible, to re-schedule your lesson. In this instance Teifi Tiddlers is not responsible for any travel expenses incurred.
When a pool is not available on a longer term basis (in excess of one month), on public health or other grounds outside of our control, then we cannot be responsible for providing any further lessons during that time. If this occurs, we endeavour to recompense you in a future term.
Teifi Tiddlers is under no obligation to refund or transfer fees in the event that you are unable to attend part of or the entire course.
Swimwear
All babies/toddlers MUST wear a double nappy system: a swim nappy with a swim suit on top or a two layer swim costume (swim pants & swimsuit).
All hair tied back. Goggles are optional.
Lessons
Customers are responsible for their child at all times. Please aim to arrive no more than 5 minutes before the lesson and leave no more than 10 minutes after the lesson to improve changing room comfort. We ask that you arrive pool ready to minimise congestion in the changing rooms. Please do not enter the pool whilst another session is on, we kindly ask you to wait in the changing rooms and PLEASE keep noise to a minimum, as not to disrupt sessions.
Customers accept that there will be physical contact between teacher and child in a professional and caring manner.
Adverse weather
Teifi Tiddlers is under no obligation to refund lessons that may be missed due to adverse weather.
Video & Photography
You may take photos or videos of your child ONLY with the permission of the instructor and other parents in the class.
Valuables and Jewellery
All property in changing rooms or on poolside is left at your own risk. Teifi Tiddlers cannot accept any responsibility for the loss or damage of any personal possessions. Please remove all jewellery before entering the water.
Illness
Should you or your child have, or develop, any known or suspected medical condition you must please:
Consult your doctor before bringing them swimming and inform Teifi Tiddlers. All information received is treated in confidence and with sensitivity.
Never bring your child swimming if they have any illness such as an ear infection, diarrhoea, chicken pox, impetigo, conjunctivitis or a bad cold. Please wait until symptoms have cleared before returning to classes.
In the instance of sickness and diarrhoea your child must have been clear of all symptoms for at least 48 hours before attending a lesson. Please ask if you are unsure.
Medical Conditions
You will be asked to highlight any medical conditions for either yourself or your little one on the online booking form. It is essential that you update and inform Teifi Tiddlers of any changes, including pregnancy, as soon as you are aware of them. All information is strictly confidential.
Nappies and Changing your Baby
Without exception, all babies/toddlers MUST wear a double nappy system: a swim nappy/pants with a swim suit on top. Please put used nappies in the nappy bins provided. (Croft pool – please take them with you).
Always change your baby on the floor using a suitable changing mat. Do not use any raised areas such as benches, trolleys or tables. This is to prevent babies from rolling onto the floor from high surfaces which can easily happen and is extremely distressing for all concerned.
Food is NOT allowed in the changing rooms or on poolside. Withdrawal of service
Teifi Tiddlers may at its own discretion refuse entry to a client to its courses if it is felt that the client’s behaviour is unreasonable.
Pool/Poolside Health and Safety
NO outer footwear or prams should be taken onto poolside or into changing rooms. Please ensure muddy shoes are removed before entering.
Whilst you are waiting for your class, please keep poolside noise down to a minimum so that all lessons can take place in a calm and peaceful atmosphere. Do not enter the pool until the current class has finished; please always wait to be invited to do so by your teacher.
You are responsible for the safe supervision of any children you bring at all times: on poolside, in the changing rooms and on the pool premises. They should always be under the direct supervision of an adult in the lesson and never be left unattended. Children running on wet surfaces can very easily slip and hurt themselves.
Unfortunately we can only accommodate one adult in the pool at a time with each child. However, we are happy for other members of your family, friends, or child minders to bring your child to classes. Anyone new to the class must let the instructor know at the beginning of the session, so the instructor can provide the extra help and advice if needed.
